Booking Terms and Conditions – CJ Travel Experts

 

These Booking Terms and Conditions contain important information about your legal rights, obligations, and responsibilities. Please read them carefully before confirming any travel arrangements with CJ Travel Experts, an independent travel agency based in Queensland, Australia.
By making a booking with us—whether in person, over the phone, or via email—you acknowledge that you have received and accepted these Terms and Conditions. You will be required to confirm your acceptance in writing (via email, signature, or system confirmation) before any payment is processed. For every booking, a written acknowledgment of acceptance is required regardless of any prior business history.
In these Terms, “CJ Travel Experts,” “we,” “us,” and “our” refer to CJ Travel Experts and any of our travel advisors. “You” and “your” refer to the client or traveller. The person making the booking is deemed to have authority to act on behalf of all travellers listed.
We operate under the ATIA Code of Conduct and comply with its requirements, including the disclosure of professional service fees, privacy protections, and complaints handling procedures. Our professional fees are listed in the Schedule of Fees section and are separate from any supplier charges.
These Terms are provided in English (a Portuguese version is available on request). In the event of discrepancy, the English version will prevail.
This document forms a legal agreement between you and CJ Travel Experts and is separate from any promotional material. We review and update these Terms regularly to reflect changes in law and industry standards.

 

 

1. Booking, Deposit & Confirmation

 

Bookings are confirmed once we receive your written acceptance of these Terms and payment of the applicable deposit. A non-refundable deposit is required to secure your arrangements. The amount and due date will be advised at the time of quoting. Final payment is due no later than 8 weeks prior to departure unless otherwise specified. Some suppliers may require full payment upfront; this will be communicated if applicable.

 

2. Prices and Payment Terms

 

All prices are in Australian Dollars (AUD) unless otherwise noted and are subject to change until paid in full.
Final payment deadlines will be communicated with each booking.
Payment can be made via secure credit card link or direct deposit.
Credit card surcharges apply as follows:
• Mastercard/Visa: 1.80%
• Amex: 2.10%
• Diners/International cards: 3.20%
Charges will appear as CJ TRAVEL GROUP on your statement. Please note that credit card surcharges are non-refundable in the event of cancellation.
Prices are quoted in Australian dollars (AUD) unless stated otherwise. All quotes are subject to:
• Availability at the time of booking
• Changes in taxes, fuel surcharges, or currency fluctuations
• Supplier-imposed increases (e.g., for airfare, taxes, port fees)
We reserve the right to pass on such increases before full payment is received. Once paid in full, your price is generally locked in.

 

3. Schedule of Fees

 

Please see below for a schedule of professional service fees charged by CJ Travel Experts. These are charged in addition to any supplier fees and are non-refundable once services are confirmed.

4. Changes, Cancellations & Refunds

 

Changes by You: Subject to our amendment fee and any fees charged by suppliers.
Cancellations by You: Deposits are non-refundable. Cancellation fees apply as per our Schedule of Fees. Supplier fees may also apply and can be up to 100% of the booking value.
Refunds: Refunds (if any) will only be issued once funds are received back from the supplier. Credit card surcharges and agency fees are non-refundable.
No-Show: Considered a full cancellation and no refund will be provided.

 

5. Travel Insurance

 

We strongly recommend that you purchase comprehensive travel insurance at the time of booking. This should include:
• Cancellation
• Medical expenses and repatriation
• Personal liability
• Baggage and personal effects
If you decline insurance, you do so at your own risk. Travel insurance offered through credit cards or reciprocal agreements is often insufficient.

 

6. Health, Safety & COVID-19

 

You are responsible for checking:
• Entry and health requirements of your destination(s)
• COVID-19 related regulations (including vaccination, testing, or quarantine)
• Airline and border policies that may change without notice

CJ Travel Experts will provide general guidance but accepts no liability for delays, costs, or disruptions caused by failure to comply with current regulations.

 

7. Passports & Visas

 

• All travellers must hold a valid passport for international travel with at least 6 months validity beyond your return date.
• Some countries require machine-readable or biometric passports. It is your responsibility to ensure you meet these requirements.
• You must inform us immediately if your passport does not meet validity or format requirements.
• Visas, transit permits, re-entry permits, or electronic travel authorisations (e.g., ESTA, ETA) are your sole responsibility unless expressly arranged by us.
• Fines, penalties, or denied boarding due to incorrect documentation are not the responsibility of CJ Travel Experts.

• If you wish, we can connect you with a third-party visa advisory service (additional fees may apply).

 

8. Baggage

 

• Baggage allowances vary by airline and fare type.
• Review your airline’s baggage policies.
• Be aware that excess baggage can be costly. CJ Travel Experts is not liable for charges, loss, or damage related to baggage.

 

9. Airfares & Mileage

 

• We do not issue tickets using frequent flyer points or travel rewards.
• However, if permitted by the airline, flights booked with CJ Travel Experts may still accrue frequent flyer miles or status credits.
• It is your responsibility to provide your loyalty number at the time of booking.
• We are not responsible for eligibility, accrual, or disputes with loyalty programs.
• Paid in full, your price is generally locked in.

 

10. Additional Charges (Local Taxes & Resort Fees)

 

Some accommodations, particularly in North America and Europe, impose mandatory resort, facility, or amenity fees. These are not included in your booking and must be paid directly to the hotel.
Airline baggage fees, seat selection, and other optional extras are also not included unless explicitly stated.

 

11. Force Majeure

 

CJ Travel Experts is not liable for any loss, damage, or delay resulting from events beyond our control, including but not limited to: natural disasters, pandemic outbreaks, political unrest, airline insolvency, or border closures. Bookings affected by such events will be subject to the individual supplier’s terms.

 

12. Liability & Governing Law

 

CJ Travel Experts acts as an agent for third-party suppliers (e.g. airlines, hotels, tour operators) and is not liable for their acts, omissions, or failures. You acknowledge that all bookings are subject to the individual terms and conditions of those suppliers.
These Terms are governed by the laws of Queensland, Australia.

 

13. Complaints & Dispute Resolution

 

CJ Travel Experts is proud to hold ATIA Accreditation. ATIA is responsible for monitoring our compliance with the ATAS Code of Conduct and assisting in the resolution of complaints. If we are unable to resolve your complaint internally, you may refer your concern through the ATIA complaints process.

15. Client Responsibility Acknowledgement

 

By proceeding with your booking, you acknowledge that it is your responsibility to read and understand the terms of your travel provider(s), review all documentation provided, and ensure your travel documentation and insurance are valid for the entirety of your journey.
